Packages

Prepaid blocks like ten baths: setting one up, selling it, and using a visit at checkout.

A package is a block a client pays for up front — ten baths, say. Set one up from Services and pricing, then Packages. Sell it from the client's own page, and spend a visit from it at checkout.

What it needs

A name the client will recognise on their receipt, which service it is for, how many, and the price for the whole block rather than for one visit.

One service, not a choice of any

A block pays for the one service you attach it to. Somebody who bought baths cannot spend one on a full groom. That is the argument this avoids having at the desk in six months.

Expiry

Leave the expiry box empty and the block never lapses. If you set one, it runs from the day the block is sold, and the last day counts — a ninety-day block bought on the 1st is good all day on the 90th. Days are counted on your location's clock.

Selling one

Open the client, find Packages, choose the package and press Sell. That raises an invoice to take payment on, exactly as for any other sale: cash, card, or a card on file. The client has the package once the invoice is paid, so a card that is declined leaves an unpaid invoice and no balance. If you charge sales tax it is added once, on the block, and never again when the visits are used.

Selling needs the same permission as taking a payment.

Using a visit at checkout

On the draft invoice for a visit, a service the client holds a package for shows Use package. If they hold more than one, the block closest to expiring is listed first. The service is then charged at nothing, because the money came in when the block was sold, and the line says which package paid for it. Add-ons are still charged. A package cannot be combined with a discount on the same invoice.

Remove package visit, on the draft, puts the visit back and charges the line again. An invoice that has been issued cannot be changed: void it, which gives the visits back, and draft it again.

What your reports show

The Money report counts a block once, on the day it is sold and paid. A visit paid for from a block moves no money, so it adds nothing. The reports that total what services were worth show the value of the visit as normal. So the two will differ by the value of visits that have been sold but not used yet. That is expected, not an error.

Commission

If a groomer is paid commission, a visit paid for from a package earns it on the value of one visit — what the client paid for the block divided by how many it holds, and never more than the service itself is worth. The person who sold the block earns nothing from the sale.

Refunds

A package is refunded in full or not at all, and only while no visit has been used. Refunding it cancels the package and closes the invoice, so it cannot be paid a second time. A package with a visit used cannot be refunded.

Editing or withdrawing a package does not touch blocks already bought: somebody who paid for ten baths keeps ten baths at the price they paid.

Not available yet Packages for boarding and daycare stays are not available yet, because stays are priced as stays rather than as appointments; for now a package pays for appointments such as grooming only.
